The Department of Media and Government Communication at the Presidency of the University of Information Technology and Communications (UoITC) is one of the vital and important departments at the university, as it plays a pivotal role in covering and disseminating various activities and events. This department is responsible for preparing and organizing the requirements of these events, often as part of routine administrative procedures, and transforming them into simplified and clear media messages that help inform the audience, whether internal or external, about the activities and services provided by the university in various fields.

The department is managed by distributing daily tasks from the head of the department or his/her deputy to the heads of divisions, who in turn assign the tasks according to the nature of the activity. The assigned staff members handle administrative tasks such as official correspondences, daily mail, posting news on social media platforms, and other related tasks.

Unit – Divisions of the Department

The Public Relations Division is the official face of the university in enhancing internal and external communication and building a positive image of the institution. The division works with a specialized team to achieve the university’s strategic goals through the following tasks:

  1. Planning and organizing events

   Organizing conferences, ceremonies, and official university celebrations.

   Coordinating visits of official figures and local/international delegations.

   Supervising guest reception and organizing their special programs.

  1. Institutional communication

   Preparing official statements and responding to media inquiries.

   Strengthening relations with government institutions, universities, and local/international organizations.

   Coordinating with media outlets to ensure appropriate coverage of university activities.

  1. Institutional reputation management. Monitoring the university’s public image in the media and on social media.

   Proposing plans to enhance the university’s academic and scientific reputation.

   Handling media crises and preparing clarification statements when needed.

  1. Issuing official publications

   Preparing introductory booklets and university brochures.

   Organizing content for periodic newsletters and promotional booklets.

   Updating informational materials in multiple languages (Arabic, English, French).

  1. Community relations

   Organizing social and cultural initiatives that strengthen the university’s bond with the community.

   Coordinating with charitable organizations and social institutions for joint projects.

   Organizing awareness campaigns and workshops that serve the local community.

  1. Administrative and logistical support

   Providing logistical support for university events and activities.

   Managing contact lists of external entities and partner institutions.

   Archiving documents and official correspondence related to public relations.

  1. Development and training

   Organizing workshops and training courses for university staff in public relations.

   Developing work mechanisms to ensure efficient internal and external communication.

The Public Relations Division aims to enhance the university’s standing locally and internationally and build bridges of communication with all relevant entities, serving the university’s academic and research objectives.

The Media Division is responsible for the university’s daily media activities through a specialized team that includes:

– News editors

– Videographers

– Photographers

– Video editing team

– Graphic designers

 Key tasks of the division:

  • Direct media coverage

  Covering university events (seminars, conferences, festivals, exhibitions) and documenting them in video and photo formats.

  Following up on patent news, scientific research, and student activities for immediate publication.

  • Electronic and journalistic publishing.Writing and editing daily news in Arabic and English for publication on:

  – The official university website

  – Social media platforms (Facebook, Twitter, Instagram, etc.)

  Updating website content with the latest activities and achievements.

  • Visual and audio production

  Filming and editing reports and documentary videos of events.

  Preparing visual broadcasts of important events on campus screens.

  • Photography and archiving.

  Documenting all events with high-quality photos.

  Creating a digital archive of photos and videos for promotional materials and publications.

  • Cooperation with external media

  Providing newspapers and TV channels with university news.

  Coordinating with media institutions to highlight the university’s achievements.

  • Printing promotional materials

  Designing and printing university brochures (in Arabic and English) for distribution.

  • Media monitoring

  Monitoring news about the university in the media and submitting periodic reports.

  • Technical support and training

  Providing technical support to colleges in photography and video editing.

  Contributing to training students of media and communication technology in practical skills.

The Media Division is the main hub for communication between the university and the public, working to showcase a bright image of the university across various media channels.

The Administrative Unit is the backbone that supports all activities and sections of media and government communication. It undertakes the following tasks:

  Receiving and distributing incoming and outgoing mail.

  Preparing administrative reports and minutes.

  • File and document management

  Organizing and maintaining administrative and technical files.

  Creating a database for correspondence and documents.

  Preparing follow-up records for administrative decisions.

  • Coordination and organizational support. Scheduling appointments and official meetings.

  Organizing employee files and work records.

  Tracking leave, absenteeism, and attendance.

  Providing logistical coordination for events and seminars.

  Preparing guest lists and reception arrangements.

  Following up on organizational arrangements for events.

 Administrative Unit’s Tasks:

It acts as a link between department management and other sub-units, ensuring effective coordination among all work units in the field of media and public relations at the university.

1- Managing Digital Platforms:

Updating the university’s official website with news and events.

Managing social media accounts (Facebook, Twitter, Instagram, YouTube, LinkedIn, etc.).

Developing a content strategy to enhance the university’s digital presence.

2- Producing Digital Content:

Creating visual and audio content (videos, infographics, live streaming).

Designing electronic publications and digital materials.

Preparing video news reports for digital platforms.

3- Live Broadcasting and Digital Coverage:

Broadcasting important events (conferences, seminars, ceremonies) live online.

Documenting and editing major events for digital publication.

4- Analytics and Digital Monitoring:

Monitoring and analyzing interaction statistics on digital platforms (views, engagement, reach).

Preparing periodic reports on digital content performance and impact.

Following up on comments, messages, and feedback on social media.

5- Cyber security and Data Protection:

Monitoring and securing the university’s digital accounts.

Ensuring content complies with privacy policies and copyright standards.

6- Training and Technical Support:

Offering workshops for university staff on best practices in digital media.

Supporting colleges and departments in creating professional digital content.
